After enabling an organization app, establish who can use it, who maintains it and which business data they can access. Daily users generally enter through the published Assistant. Maintainers manage the workspace configuration and resources.

Assign usage and maintenance responsibilities

These describe responsibilities. Actual actions still follow platform roles, workspace membership and the app’s own permission checks. Current initialization creates a dedicated private workspace and makes the initializer its owner. To grant employee access, an administrator with the appropriate permissions:
  1. Switches to the app’s organization.
  2. Selects or creates a user group in Settings → User groups and adds employees.
  3. Grants the group permission to use the app’s published Assistant.
  4. Asks employees to refresh the entry and try a business operation within their access scope.
The workspace owner separately adds people who need to edit Assistants or workspace resources. See Assistant and application authorization for authorization paths and revocation rules.

Business data retains separate authorization

Access to the entry Assistant grants that usage path. Project membership, application business objects, knowledge bases, files and external services still apply their own access rules. When troubleshooting, confirm the service, account, organization and target object first, then check the relevant resource permissions. For collaborating roles, ensure the resources actually used by the app are configured. Data-scope descriptions explain intended use; services enforce access.

Distinguish maintenance and upgrade actions

A successful plugin refresh does not show that existing Assistants use the new template. A ready app does not establish that a data migration is complete. Follow the app’s release instructions for each action and verify the outcome through actual business work. See Assistant templates for instance upgrades. Developers and deployment maintainers can also read Application initialization configuration.

Preserve existing configuration and data

Repeated initialization or repair preserves the membership and visibility settings of a workspace that still exists. Owners must explicitly adjust sharing for older apps; a host upgrade does not automatically change existing maintenance access. Disabling a plugin, revoking employee access and deleting business data are separate operations. The app defines its archive, migration and cleanup workflows. Discard configuration applies only to eligible setup resources for apps that have not been enabled. Before cleanup, use the app’s instructions to identify the affected objects and consequences.
